Callswala ("Callswala," "we," "us," or "our") provides a web-based call-tracking, marketing-attribution, and conversion-reporting platform. This Privacy Policy explains how we collect, use, store, disclose, and protect information when you visit our website, use our application, connect a Google Ads account, or otherwise interact with our services (collectively, the "Services").
If Callswala processes information on behalf of a business customer, that customer is responsible for determining how it uses the Services, providing appropriate notices, and obtaining any legally required permissions or consents from website visitors and callers.
1. Information We Collect
Account and organization information
We may collect names, business names, email addresses, account login details, user roles, organization identifiers, customer support communications, and other information provided when an organization or user creates, administers, or uses a Callswala account.
Call-tracking and communications information
Depending on a customer's configuration, we may process tracking phone numbers, caller phone numbers, call timestamps, call duration, call status, call-routing information, campaign or source attribution, lead-qualification status, and related notes or tags.
If a customer enables call recording, transcription, or similar features, we may process call recordings, transcripts, or related information on that customer's behalf. Customers are responsible for providing required call-recording notices and obtaining any necessary consent before using those features.
Website, device, and attribution information
When a customer installs our Dynamic Number Insertion or other tracking technology on its website, we may collect information needed to associate website activity with an inbound call. Depending on the configuration, this may include referring URLs, landing-page URLs, campaign parameters, device or browser information, IP address, timestamps, session identifiers, cookies or similar technologies, and Google advertising click identifiers, including gclid, gbraid, and wbraid.
Google account and Google Ads information
If an authorized user chooses to connect a Google Ads account, we may access or receive:
- The Google account email address or related account-identification information made available through the authorization process.
- Google Ads customer IDs and, where applicable, manager-account or login customer IDs.
- Google Ads account descriptive names and information needed to identify accessible advertiser accounts.
- Existing conversion-action information, including conversion-action identifiers, names, types, categories, and status.
- OAuth access tokens and refresh tokens needed to maintain the authorized connection.
- Conversion-upload responses, status information, error messages, and related operational metadata.
We request the Google Ads OAuth scope https://www.googleapis.com/auth/adwords to provide the Google Ads connection and conversion-reporting features selected by the customer.
Callswala does not receive or store a user's Google account password.
Payment and billing information
If paid subscriptions or other charges apply, billing information may be processed by a payment service provider. We may retain information such as subscription status, billing contact details, transaction references, invoices, and payment history. The information available to us depends on the payment provider and the customer's purchase.
Technical and usage information
We may collect application activity, authentication events, browser details, IP addresses, diagnostic information, access logs, and other information reasonably necessary to operate, secure, troubleshoot, and improve the Services.
2. How We Use Information
We use information to:
- Create and administer customer organizations and user accounts.
- Assign tracking numbers, route calls, and maintain call records.
- Attribute phone calls to marketing sources and customer-defined campaigns.
- Provide call logs, attribution dashboards, reports, exports, and related customer-facing features.
- Connect authorized Google Ads accounts and identify accessible advertiser accounts.
- Display eligible Google Ads conversion actions for customer configuration.
- Upload qualifying offline phone-call conversions to a customer-selected Google Ads account.
- Evaluate customer-defined conversion rules, such as minimum call duration or qualified-lead status.
- Maintain connection status, operational audit records, and conversion-upload error or retry information.
- Respond to support requests and communicate about accounts or the Services.
- Detect, prevent, and investigate fraud, abuse, security incidents, or technical problems.
- Comply with applicable law, enforce our agreements, and protect legal rights.
- Improve the reliability, security, and operation of the Services in a manner consistent with applicable privacy obligations.
3. Google Ads Data Access and Use
Callswala accesses Google Ads data only after an authorized user grants permission through Google's OAuth authorization process.
We use authorized Google Ads access to:
- Identify advertiser accounts available to the authorized Google user.
- Display account names and customer IDs so the user can choose the correct advertiser account.
- Retrieve existing conversion actions needed for campaign-to-conversion mapping.
- Upload qualifying offline click conversions to the account and conversion action chosen by the customer.
- Display connection information, mapping information, and conversion-upload status within the authorized customer's Callswala organization.
Callswala does not use the Google Ads integration to create, edit, pause, or delete advertisements, campaigns, ad groups, keywords, bids, or budgets. Callswala does not use this integration to present a Google Ads campaign-performance reporting dashboard.
Where a customer enables a supported enhanced-conversion feature, eligible first-party identifiers such as a phone number or email address may be normalized and hashed before submission to Google, subject to the customer's configuration, applicable consent requirements, and Google's technical specifications.
4. Google API Services User Data Policy
Callswala's use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Google user data is used only to provide, maintain, secure, or improve the user-facing integration features described in this Privacy Policy and selected by the customer. We do not sell Google user data, transfer it to data brokers, or use it for unrelated advertising, creditworthiness determinations, or other purposes prohibited by applicable Google policies.
Access by personnel to Google user data is limited to circumstances permitted by applicable Google policies, such as responding to a user's support request with appropriate authorization, investigating a security issue or abuse, complying with law, or performing permitted internal operations.
5. How Information Is Shared
We may disclose information:
- To authorized users within the relevant customer organization, according to their account permissions.
- To Google when an authorized customer connects Google Ads or directs Callswala to upload a conversion.
- To infrastructure, hosting, database, authentication, telecommunications, analytics, customer-support, payment, or other service providers that process information on our behalf as necessary to provide the Services.
- To professional advisers, auditors, or legal representatives when reasonably necessary for legitimate business, security, compliance, or legal purposes.
- To government authorities or other parties where required by law, legal process, or a valid and enforceable request.
- In connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to applicable legal and Google-policy requirements.
- With a customer's direction, consent, or authorization.
We do not disclose one customer's organization-scoped Google Ads credentials or customer data to another customer organization.
6. Cookies and Similar Technologies
Callswala and its customers may use cookies, local storage, session identifiers, or similar technologies to maintain authentication, support website functionality, associate advertising visits with calls, protect accounts, and measure use of the Services.
Customers that deploy Callswala tracking technology on their websites are responsible for providing legally required cookie notices and obtaining consent where required.
7. Data Security
We use reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, misuse, disclosure, alteration, or destruction.
Depending on the applicable feature, these measures include authenticated application access, organization-based authorization, transport security, and protection of OAuth credentials. Google Ads refresh tokens are stored with encryption where implemented and are not intentionally displayed to end users through the application interface.
No method of transmission or storage is completely secure. Customers are responsible for safeguarding their own account credentials, restricting user access appropriately, and promptly notifying us of suspected unauthorized activity.
8. Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain customer accounts, honor contractual obligations, resolve disputes, enforce agreements, preserve operational or security records, and comply with applicable law.
OAuth credentials are retained while the relevant Google Ads connection remains active unless earlier deletion or revocation is required. After disconnection or account termination, credentials and related data are deleted, deactivated, or retained only as required for legal, security, accounting, dispute-resolution, or documented operational purposes.
9. Disconnecting Google Ads and Revoking Access
An authorized customer administrator may disconnect Google Ads from the Callswala application, where the feature is available. Disconnecting the integration stops future Google Ads API access and conversion uploads associated with that connection, subject to requests already in progress.
Users may also revoke Callswala's access through their Google account's third-party application permissions. Revoking access may prevent Callswala from retrieving conversion actions or uploading future conversions.
Disconnection or revocation does not automatically remove conversion information previously submitted to Google or delete records that must be retained for lawful, contractual, security, or audit purposes.
10. Privacy Rights and Requests
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, restriction of, or a copy of certain personal information, or to object to certain processing.
To submit a privacy request, contact [email protected]. We may need to verify your identity before responding.
If your information was collected through a business that uses Callswala, contact that business first. In many cases, the business determines how the information is used and is responsible for responding to requests relating to its customers or callers.
11. International Data Transfers
The Services and our service providers may process information in countries other than the country where a user or caller is located. When required, we use or rely on appropriate legal safeguards for applicable international data transfers.
12. Children's Privacy
The Services are intended for business users and are not directed to children. We do not knowingly solicit account registrations from children under the minimum age required by applicable law. If you believe a child has provided personal information to us inappropriately, contact us so we can review the matter.
13. Third-Party Services
The Services may integrate with third-party platforms, including Google Ads, telecommunications providers, hosting providers, authentication providers, and payment processors. Their collection and use of information may also be governed by their own privacy policies and terms.
Google's privacy practices are described at https://policies.google.com/privacy.
14. Changes to This Privacy Policy
We may update this Privacy Policy periodically. When we do, we will update the "Last updated" date above and provide additional notice where required by law or contract. Continued use of the Services after an updated policy becomes effective is subject to the updated policy, to the extent permitted by applicable law.
